Hi,

I am looking for a software or solution for organizing my tasks list. I
need for this to have the following things:
- I can define a list of taks, and subtasks for each of them (it can be done
by a lot of programs)
- When I am planning every day's work I can say for instance that I want to do
three of four tasks/subtasks and schedule them, for instance, the first one
must be done between 09:00 and 12:00 hours, the second one between 13:00 and
15:00 hours and the third one between 15:30 and 17:00 hours (it can be also
done by a lot of programs)
- If I delay the first taks and finish it at 13:00 hours instead of 12:00
hours as planned before, I want that all the rest of taks of the day will be
shifted acoording to this delay, in this case, one hour (it can be done for
some program but not very easily)
- Each time I finish some subtask, the whole progress of the respective task
is updated according to some rules defined by me (some very complicated
management programs include this feature, but only this and not the rest of
the previous things)
- I can also specify that each week I need to do three times a week of task A
and 2 times of B and so on, and the program reminds me of the rest of times
left
- When I look at my task list, I can order or organise the list according to
different criteria; priority, completed, non-due, deadlines, etc. I can order
tasks and/or subtasks. For instance perhaps i am only interested of
organising sub-tasks. (I don't know a program that can do this, they usually
order taks but no sub-tasks)
- It is possible to implement the ideas of "Getting things done" from David
Allen (there are some programs for this, but lack the previous features)

Do you have experience with some software that has all this characteristics or
some of them ? Or some suggestions to work in this way ?

I've been using Toodledo for about a month now, and it does some of what you're asking. The thing I see that it's obviously missing is rearranging your schedule if you've had a delay, and you'll have to upgrade to the Pro version ($15 per year) to use the scheduler. Also, as far as I can tell, its system for tracking the overall progress of a particular project might be rather cookie-cutter. (I haven't used it.)

It's fabulous at organizing tasks by due date, priority, project, completed, etc. It has options for setting tasks to repeat daily, weekly, monthly, twice per month, every other month, every Tues-Thurs-Sun, every 2 days, and so on. It also has several addons and gadgets for integration with other stuff: Google Calendar, Jott, iPhone, and others. I use a Firefox addon for adding new tasks, since the addon pops up an input window rather than loading a web page.

The basic version is free, and they'll let you try the Pro features for free for a month.

I have found that outlook is great for orgainzing my day and priorities. Simple to use but also has advanced features. To be able to connect contacts with tasks has been helpful so I always know where I am at when it comes to individuals. I also seperate out my personal tasks from business related tasks. However, I can view them all together if I choose.

I really only used my Outlook for email, I have in recent years taken it above and beyond that.

I would like to suggest to you our software product called FruitfulTime TaskManager. FruitfulTIme TaskManager allows you to insert your tasks and split them into subtasks. You can also set deadlines and priorities to each task and subtask. This allows you to better plan and control the overall progress of your projects.

To help you keep everything organised, you can keep notes associated with your task in the to do list, attach any documents and websites, contacts and set reminders for each individual task.

I am actually using VIP task manager professional which is very similar (and with more options) to the program you mean

The main thing I did not find on any planning software (as I said before) is to be able to make a schedule of the different tasks/project for the whole day, with exact timings. And if I start first task later, for instance, then the rest are moved in time and so.

I would like to know where can I find this feature.

If you do consider an online solution, definitely try out Nozbe. I have become sort of a zealot for the program. While it is web based, it also lets you print out a list of your next actions or projects, so you can keep it with your notebook.

It's definitely designed for GTD (and it amazing how well it sticks to the methodology), but it can be a great project manager in general. They also have some video tutorials that are excellent.

What really separates Nozbe from the rest is that there isn't any fluff, its simplistic, to the point, powerful and flexible enough to work with you, and its sole purpose is to get things done.

You can email, SMS, or Jott actions to your projects, you can print NA lists, projects and create custom contexts.

They have free accounts, but I would at least try the Pro Plan for 30 days (you can get your money back if its not cool for you)

You can use "Schedules" for this.

This is not supported.

There's only one default rule, when you check off tasks, the completion percentage of the projects and goals the task was associated with, updates.

This can be done with "Checklists"

You can order and filter using those criteria with the exception of deadlines (for now, only goals have deadlines, but you can't arrange by them.)

It has contexts, next actions, and a simple calendar as David Allen recommends, for the things that must be done at fixed dates (meetings, anniveraries, events etc.)
